IKEA Industry Novgorod is located in the village Podberezye in Novgorod district, Novgorod region. There are two production units working on this site — the plant produces particle board, and the furniture factory makes furniture for IKEA stores. Raw and laminated particle boards, including water-resistant and CARBON2 standard boards, are the main products of the plant. The specialization of the furniture factory is production of cabinet

Job Description:

  • coordination of visa-obtaining procedures for employees
  • ensuring of social areas FIKA (goods, equipment, visualization), conference rooms (5S, equipment, visualization), office areas (stationary)
  • global company Meet & Travel policy follow up (close cooperation with country travel agency)
  • global company car policy alignment and follow-up
  • arrangement and coordination of transportation of employees (corporate buses, taxi)
  • interaction with catering company (order lunches according to the applications, order of still-room goods for coffee breaks, reports on the monthly base). Coordination of work of two canteens.
  • corporate mobile connection activity (full scope of responsibility in the frame of mobile phone/ mobile sync policy)
  • update of administrative guidelines and policies according to local needs and global company request
  • organization and support work of company archive on the yearly base
  • interaction with different service providers which perform delivery of correspondence
  • preparation of administrative budget, forecast and report
  • negotiation, managing procurement and contracts with respect to all goods and services required for provision of business support
  • control contracts with service providers (administrative area)
  • organization of visits (visit's program approval, factory tours, catering, etc.)
  • ordering of treats in relation to the production achievements
  • decorating of offices for the holidays
  • office supplies (purchase, delivery, etc.)
  • purchase of office furniture
  • organization of transfer and hotels for guests
  • organization of events for employees
  • performing other administrative functions according to requests
Qualifications:
  • Higher education
  • Proven office management, administrative experience at least 1 year
  • Excellent written and verbal communication skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Organization and planning skills
  • Attention to details
  • PC – experienced user (MS Office: Word, Excel, Power Point)
  • English at Upper-Intermediate level
